Our client in Peoria, IL is looking for an Executive Assistant

What will you be doing?

  • Provides administrative support for a busy college president including, but not limited to: managing the President’s calendar in Outlook, both internally and externally; scheduling appointments and meetings with campus and community individuals and keeping related records; overseeing recurring meetings with direct reports, Executive Cabinet and VP Council.
  • Provides telephone and in-person reception duties such as receiving, transferring and responding to incoming community and campus calls or emails, and greeting visitors.
  • Establishes and maintains confidential files, composes letters, reports, and other correspondence in reply to requests for information of a general and confidential nature.
  • Creates a daily binder for the President, which includes printed versions of the daily schedule and agendas and reading material for each meeting.
  • Attends assigned committee meetings (some virtual, some in-person) and provides administrative assistance,including taking detailed minutes in compliance with rules,regulations, and/or procedures; drafting and distributing agendas in a timely manner; assisting with virtual meetings by sharing documents in Microsoft Teams; ensuring that meeting minutes are reviewed, approved and posted to SharePoint in a timely manner.
  • Assists with Executive’s preparation for Board of Trustees meetings, including gathering and drafting the President’s Report; creating a PowerPoint slide for the Student Success Story.
  • Supports the Board Secretary by carefully reviewing the monthly Board book; assists with agenda and binder creation for Board of Trustees retreats which are 2-3 times per year.
  • Prepares and routes assigned purchase orders and record expenditures; reconciles monthly credit card statements.
  • Arranges scheduling of space and coordinates additional details (e.g. catering,audio/visual, print materials) needed for meetings, conferences, and campus events.
  • Plans/coordinates travel/accommodations for President and creates a binder of pertinent information for these conferences.


What do you bring to the job?

  • High school diploma or equivalent
  • At least 2 years of administrative assistant experience
  • Effective communications skills required
  • Proficient in Microsoft Word, Excel and Outlook
  • Effective time management and professional interpersonal skills
  • Ability to organize, multi-task and maintain confidential data
